Film and production crew coach hire in Sydney moves cast, crew, extras and background artists between base camps, unit bases and filming locations, often on early calls and changing schedules. Production managers, location managers and transport coordinators use our coaches and minibuses when a shoot has more people than a unit car fleet can carry, when location parking is limited, or when a large group of extras must arrive at the same time. Every vehicle is private to the production and comes with a professional driver who works to the call sheet.

How Production Transport Differs
A shoot day rarely runs exactly to plan. Call times move, scenes run long and a location can change the evening before. Production transport has to absorb that uncertainty without leaving people waiting in the cold at four in the morning. We plan each job from the latest call sheet, confirm pick-up points with your transport or location team the day before, and keep our office reachable so a changed call can be passed straight to the driver.
Drivers on production work are briefed on the unit’s rules: where to stand the vehicle, when engines must be off for sound, how to load quietly near a set and which crew member gives the call to move. They stay with the vehicle unless the production asks otherwise.
Extras and Background Artist Shuttles
Crowd scenes can call for dozens or hundreds of background artists. They usually gather at a holding area, such as a hall, car park or studio, and are moved to set in timed waves as the assistant directors need them. Full size coaches suit this work because one vehicle carries a large group with bags and costume items underfloor. For big days we run several coaches together, with one held at the holding area so a wave can move as soon as it is called.
Unit Base to Location Runs
Many city and coastal locations cannot take every crew vehicle. Productions often set up a unit base some distance away and shuttle crew to set. We work out the cycle time between base and location, and size the shuttle so crew are not waiting between runs. On remote or tight locations, a smaller 20, 24 or 28 seat vehicle can reach places a full size coach cannot.
Planning Table
The table below gives starting points. Final numbers depend on distance, call times and how the assistant directors want people delivered to set.
| Move | People | Vehicles | Pattern |
|---|---|---|---|
| Commercial shoot crew | 25 | 1 x 28 seat | Morning call and wrap return |
| Extras to set | 110 | 2 x 57 seat | Two waves from holding |
| Unit base shuttle | 60 | 1 x 62 seat | Loop between base and set |
| Large crowd day | 300 | 5 x 62 seat | Staggered waves, one coach held at holding |
Permits, Parking and Location Rules
Coaches often need a legal place to stand near a location, which can depend on the production’s permits. Screen NSW explains that location filming may need permits from the authority responsible for the land, usually the local council, with Transport for NSW involved for state road closures. Share the approved parking and standing areas with us, and we will put them on the run sheet so drivers stand only where the production is permitted.
Regional and Multi-Day Shoots
When a production moves to regional NSW, coaches can carry crew and cast from Sydney, then stay on location for daily runs. We plan driver hours, rest breaks and accommodation in the same way as our interstate and regional coach charter work. For long running city productions with fixed routes, a scheduled staff shuttle between a station or car park and the studio may suit better.
Drivers and Compliance
We are an accredited bus and coach operator in New South Wales. Our drivers hold NSW driver authorities and Working With Children Checks, which matters on productions that cast children as extras. Vehicles fitted with seatbelts can be confirmed at booking. Compare vehicle sizes on the fleet page, or see all coach hire services.
Frequently Asked Questions: Production Coach Hire
Can you work to early call times?
Yes. Early calls are normal on productions. We plan the driver’s start time from the call sheet, including travel from the depot to the first pick-up.
What if the call time changes the night before?
Send the updated call sheet as soon as it is issued. We confirm the change with the driver and adjust where availability allows.
Can drivers keep engines off during takes?
Yes. Drivers follow the unit’s sound rules and switch engines off when asked, within the limits of passenger comfort and safety.
Do your drivers hold Working With Children Checks?
Yes. Our drivers hold Working With Children Checks, which is useful when children are working as extras.
Can a coach stay on location all day?
Yes. On a charter booking the coach and driver stay with the production for the booked hours, ready for each move and the wrap return.
How is production transport quoted?
Quotes are based on the vehicles, the hours from depot to depot and any waiting time. There is no per person fare, and changes to hours are agreed in writing.
